Position: Office Coordinator

Reports to: Executive Director

Supervises: None

Status: 0.50 FTE

Salary: $20/hour plus benefits

Position Description
The Office Coordinator is the first point of contact to the organization. This position provides general office and administrative duties while following office workflow procedures to ensure maximum efficiency. The Office Coordinator reports to the Executive Director and their workload will be coordinated to assist staff with administrative tasks.

Principle Responsibilities

  • Act as first contact to organization by greeting visitors and answering telephone.

  • Process incoming and outgoing mail and email.

  • Oversee the purchase and storage of general office supplies.

  • Maintain office files in an appropriate, useful, and timely system.

  • Attend board and panel meetings to record the minutes.

  • Assist in assembling, generating, and posting board information packets.

  • Assist in preparing for Council meetings, to include:

    • Generating, compiling, and posting materials for the board;

    • Reserve meeting rooms;

    • Order and purchase meeting supplies; and

    • Set-up and clean-up after meetings.

  • Ensure that all office equipment operates properly and acts as first line IT for office equipment and internet; coordinate with IT or repairmen when necessary.

  • Provide assistance with event and workshop coordination.

  • Maintain email database.

  • Coordinate with outside vendors related to the maintenance of office operations.

  • Other duties as assigned.

Skills/Working Knowledge:

The ideal candidate will have professional experience working in the arts, the nonprofit sector, and grant making experience. A candidate will demonstrate superior interpersonal relationship skills. Other specific qualifications and skills include:

  • Proficiency with Microsoft Office applications.

  • Experience working in a grant making organization.

  • Attention to detail; strong logic and analytical thinking; creative problem solving.

  • Ability to manage multiple tasks and to develop solutions to problems.

  • Excellent verbal and written communication skills and the ability to interact professionally and respectfully with other staff, Board of Directors, and individuals representing diverse applicant groups.

  • Excellent project management skills.

  • Strong communication skills, both verbal and written

  • Ability to establish and maintain effective working relationships with co-workers, staff, Board members, community groups, and other related organizations.
